Information for meeting participants
How to inform a person who does not have an account but may be captured in a recording.
Notice before recording
Before recording starts, the organiser should explain clearly that the meeting will be recorded, who determines the purpose of the processing, why the recording is being made, who will receive the output and how long it will be retained. Participants should know how to object to the recording or ask for it to be paused.
Working notice template
“To prepare the minutes, I would like to record this meeting using Catch Minutes. The recording will be used to produce a transcript, reviewed minutes and follow-up tasks. It will be available only to designated recipients and retained under our organisation’s rules. If you do not wish to be recorded or would like any part to be excluded, please say so before we start or at any time during the meeting.”
This template is not universal consent or legal advice. Each organisation must adapt it to its purpose, role and legal basis.
Corrections and exercise of rights
Participants should receive contact details for the organiser or controller so that they can request correction of inaccurate minutes or exercise their personal-data rights. Fabricode may refer a request to the customer where Fabricode acts solely as processor.
